AUDIT BUREAU OF CIRCULATIONS (ABC)


Introduction of ABC
What is ABC?
Audit Bureau of Circulations (ABC) is one of the several organizations of the same name operating in different parts of the world. The ABC founded in 1948 is a not for profit voluntary organization consisting of Publishers, Advertisers and Advertising Agencies. It has done pioneering work in developing audit procedures to verify the circulation data published by those newspapers and periodicals which have earned the right to display its emblem.

ABC and the Publisher:
ABC adds to the Publications’ success by providing advertisers the information they need to evaluate print media.  The Publishers fully participate in ABC’s efforts to help them gain the credibility advertisers are looking for. Advertisers normally place their advertisements with publications that can substantiate their Circulation claims through authentic sources which is easy to understand. The publisher should he a Member of Indian Newspaper Society (INS) and the Publications should be registered with Registrar of Newspapers for India (RN I).

Its market share is 55% and for every six months they will conduct all the audit by Audit bureau of Circulation (ABC) it’s body of auditing.

Functions are:
1.       Circulating news paper regularly at right time to all agents.
2.       Working to increase in the circulation
3.       Getting the feedback from customers through marketing research and send it management

This department has the responsibility of circulation of news paper on right time, at every reader.

Ø    Advertisement Department (Response)
Advertisement are the main revenue to the news paper. Through advertisements only the news paper industry earns the required profit. This response department has got 1 senior response officer

Mr. Dinesh. In this department  8 employees are working, 4 response officers, 2 DTP operators, I scheduling and I billing/Accounts.

Advertisement department is responsible for publishing the Government (Central/State/Semi) commercial and Corporate advertisement. Advertising is a measure of the growth of civilization an indication of straining of human role for the betterment and perfection. Advertising plays vital role in the modern era. Today world is so competitive that the things has to be popularized for better sales for sales promotion advertisement is the best media through which consumers will be informing regarding the existence uses and benefits of the products.

Publishing advertisement is the major source of income of the organization cost of the advertisement color high cost is charged for front page advertisement. Maximum revenue is collected by this department.

In this department:
There is a scheduler whose work is to maintain the spaces between the advertisements, Deferent advertisements in the particular paper, to decide where and on which page the news has to be attached and on which schedule it has to be print. All this work is handled by the scheduler.

Commercial and Corporate advertisements rates will be decided by organization.

Govt. advertisements rates will be decided by State Govt. through the dept of information of the publicity. Central Governments advertisements rates will be decided by the dept of advertisements and visual publicity.

In this Dept there are deferent Agencies, though these advertisements Agencies only adds are publishing in the news paper.

Function are:
1.       Searching a customer who is interested to advertise. There product and services.
2.       Providing good advertising strategy to its customers.
3.       Designing the advertisement.

This department has helped the management to earn profit by making quality and clarity advertisement, and ii will help the Vijay Karnataka to capture the market.

Ø    Production Department:
The production department is a place where news paper get print.  The production department has got I Assistant Production Manager
Mr. Raghavendra.  In production department more 30 employees are working 4 paste-up artists, I printer, 2 Assistant printers, 9 helpers and 1 5 packers.

They print these news papers by using “Leaseline” machine, this helps to print quality papers.  This printing press situated at Kapnoor industrial Estate, Gulbarga.

The Function are:
1.       They print the paper by taking pages by editorial department
2.       They have to maintain quality of news paper
3.       They have to print at any cost without fail because if they stop printing next day news paper will not be publish.

Ø    Account Department (Finance):
This department has got one A/c Head Mr. Rainteerth. In this department more work of accounts cum finance section, Main branch will maintain all the accounts data and also 1 employee working here as account cum cashier.

He collects the Cash, Cheque; DD from circulation department sends it to main branch through bank.

A/c’s dept is using SAP SOFTWARE to handle A/c’s effectively.

Ø    Computer Department:
This dept consists of typing news and designing pages according there importance and preference. In all 10 editions, we find more than 725 computers and each edition is connected by smart FTP facility and it is useful for communicate from one edition to other. It has more than 25 scanners and nearly 30 computer printers which helps for editing news along with pictorial view.

Smart FTP can be used for:
  • Web site publishing maintenance
  • Upload and download
          In this department there are 8 employees are working.  They have to work on computer.

Functions are:
1.       7 DTP operator/paginators and 1 scanner operator
2.       DTP operator/paginator will design the page by using in India Design software.
3.       Scanner operator will scan the photos by using high quality Scanner.
4.       Photo will be adjusted by using Photoshop software (I.e. brightness, contrast, sharpness, cutting, and designing)
5.       Other functions.

Ø    Business and Commercial Dept:

In this dept 1 main executive will handle all the affairs.

If any thing is there to purchase and sale activity, organization should consult him. His the only person who is responsible for the requirements of organization
(Ex. Purchase/sale of furniture, fan, etc.)

The most important resources of any organization are its Human resources the people supply the organization with their work, talent, creativity and drive. Thus, most important aspect of an organization is the Personnel management.

Human resource management is the branch of management, which deals with the planning, organizing and controlling the labor force to the best interest if both organization and its employees. This includes manpower planning , recruitment, selection and placement of organizational members.

The personnel department handles all the employees’ personal record keeping and documentation activities related to employees. There are two assistants who assist the personnel manager. The personnel manager. looks after attendance, salary, recruitment, absenteeism etc.

The employee strength of this unit is nearly about 150 workers who are working for the development of t organization. The promoters have the unique quality in then of choosing the right person for the right job at the right time.

This has taken them to the heights they have achieved in a very short. span of time. With this the background the promoters are in the processed of selection of the chief editor, editor, sub-editor and local reporters after due care to ensure that the newspaper published is of a very high order in its quality and standards.

Chief Executive Editor does recruitment related to editorial department in consultation with General Manager and Director of VPL and also the procedure of production department is same as of former.

OBJECTIVES
Ø    To recruit and retain the human resources of required quantity and quality.
Ø    To fore seen the employee turn over and make the arrangement for minimizing turn over and filling up consequent vacancies.
Ø    To meet the needs of the programmers of expansion, diversification etc.
Ø    To foresee the impact of the technology on work, existing employees and future Human resources requirements.
Ø    To improve the standard, skill, knowledge, ability, discipline etc.,
Ø    To assess the surplus or shortage of human resources and take measures accordingly.
Ø    To maintain congenial Industrial relations by maintaining optimum level structure of 1-luman resources.
Ø    To minimize imbalances caused due to non availability of Human resources of right kind, right number in right time and right plane.
Ø    To make the best use of its Human resources.
Ø    To Estimate the cost of 1-luman Resources.

PROCEDURE OF SALARY PAYMENT:
Ø    Salary list is prepared based on attendance sheet of all employees.
Ø    The payment is usually done on 51h and between 7th of each month.
Ø    Salary slips for all branches are dispatched from Hubli branch.
Ø    Leave facility for employee is 30 days in a year.

Recruitment Policy:
Once the required number and kind of human resource are determined the top management plans to recruit the vacant post. It conducts meetings where all directors and heads of departments participate in that. It searches for the right kind of people, doing a right Db for the organization.

Internal recruitment:
Ø    For internal recruitment the organizational thinks to recruit for the vacant jobs.
Ø    Existing employees are received for the vacant job.
Ø    A recommendation of any Experienced Employee for the vacancy of a right person is considered
Ø    If previous employee again wants to join the organization it will recruit them.

External recruitment:
The organization never goes for institution or any agency. It follows only one method of external recruitment. The candidate who comes directly to the organization it will be considered for recruitment.

After job analysis is prepared by personal manager for recruitment it is sent to Directors and MD after there approval the advertise for that Dost is given. It is given for only managerial level and above that. In the advertisement candidates job specification and job description are clearly mentioned.

Selection policy:
Selection policy is followed by. recruitment. Selection is process of choosing the right employee for right time doug the specified job. It is effective when only.

1. Employee specification and job requirement should meet.
2. Job analysis is field.
In VPL the directors and MD plays an important role in selecting any managerial and assistant post in the organization.

The other jobs in the organization must be filled by these persons permission only.

After identifying the right person the directors call that candidate for interview. In the interview the candidates qualification, performance in education, knowledge about work, ability of controlling situation, his commitment and whether the candidate will do what the organization wants or not will be tested.

His earlier work will be taken into consider at the time of selection. If directors and MD feels good and particular candidate is fit for the job and he will take the organization to words progressive trend then only think to select that candidate. Salaries of the candidate are finalized at the time of interview only.

For selecting reporters the executive managing directors has authority. He conducts the interview and tests and the reporter is selected on the basis of following qualities:

b. Knowledge
c. Ability
